FAQ for organisers & service providers

Event planning, costs, suitable portals, provider profiles, SEO and the GalaHub Magazine.

Registration and use of the event planner are currently free. You do not need a paid provider package for this. Costs for booked service providers, venues or products arise independently and are agreed with the respective provider. The newsletter is optional and is not a requirement for planning.

For couples getting married, people celebrating birthdays, private hosts, associations and businesses: keep key details, tasks, budgets, service providers and schedules in one place. Whether it is a wedding, birthday, company celebration, trade fair or exhibition stand party – you can plan several events separately and keep track of your next steps.

Select “As an event organiser” when registering. After logging in, open “My Events” and start the planning wizard. Choose the event type, enter the date, location, number of guests and total budget, and specify the services you need. Then allocate your budget, look for suitable providers and review the summary. Saving creates your event with relevant checklist tasks. You can then edit the details and tasks to suit your needs.

Yes. GalaHub and the specialised network portals provide access to event planning. Your account works across the entire network; your private events belong to your account, not to a single portal domain. GalaHub provides a broad starting point, while specialist portals help you search specifically for an occasion or service. You do not need to register again for each portal.

Search by category, town or postcode and narrow down the area using the search radius. Save interesting profiles as favourites and add selected service providers to your event. In the planning wizard, Premium listings are displayed first, followed by mid-tier listings and then free listings. Placement is not a guarantee of quality: compare services, service areas, images and quotes yourself.

Enter your total budget and select the services you need. The wizard allocates the budget to these services; you can adjust each amount. The overview shows the planned costs and any remaining amount or overspend. The figures are estimates, not binding provider prices. Binding costs only arise from your individual quotes.

Yes. You can add, edit and remove tasks in the checklist. Each task can have a due date, the status “Open”, “In progress” or “Done”, and a person responsible entered as free text. The task calendar shows due dates for all your events. Reminders for open tasks that are due soon or overdue are emailed to the event owner, not automatically to the person entered by name.

You can enter programme items, planning phases and milestones with times and colours. The bar view shows the timeline; phases can depend on one another. This lets you plan preparations and the event itself, even beyond midnight. You can export the running order and bar timeline as PDFs. You can also choose to share a timeline via a sharing link.

You can contact providers individually via their profiles or select several favourites for a group enquiry. Before sending, customise your message with the occasion, date and number of guests. Frequently used messages can be saved as private templates and edited again later. Under “Sent group enquiries”, you can see recipients, sending times and reply statuses. Each provider receives their enquiry individually.

In the event planner, you manage your selected providers and private event documents. Messages, quotes and proposed appointments help you coordinate with service providers; confirmed appointments can be imported as calendar files. An enquiry is not yet a binding booking – agree on services, prices and terms directly with the provider.

Your events, checklists, favourites and documents are associated with your account and are not public. A provider does not automatically see your entire plan, only the details sent to them. If you share a timeline via a sharing link, people with that link can view the shared timeline. So only share content that you want your recipients to see.

The GalaHub Magazine offers inspiration, planning topics, news from service providers and information about new portals and changes within the network. Publications are reviewed by the editorial team. You can read the magazine without a provider package and optionally subscribe to the newsletter. For the newsletter, you also confirm your email address; you can unsubscribe at any time.

You present your services, location and service area where event organisers look for suitable providers. A complete profile with clear descriptions and informative images makes decisions easier and can encourage more relevant enquiries. Your access works across the entire network; additional publications depend on the selected portals, categories, packages and approval – registering does not automatically publish your profile everywhere.

Your account and creating your profile are free. The price list for each portal shows whether a free listing is available and which services a paid package includes. Prices may vary by portal, package, term and additional categories. Specialist focus, target audience, scope of services and positioning also differ; a higher price is not proof of stronger Google rankings or more “Link Power”. Before booking, check the price and included services on your chosen portal.

When registering as a provider on GalaHub, you can select GalaHub itself or a specialist portal. Your selection is saved to your account; your provider area then uses that portal’s categories and appearance. Choose categories that match your actual services and pay attention to regional coverage. You can book publication on additional portals through the available packages and add-ons. Your profile is maintained centrally, rather than being filled in again for each portal copy.

Regional portals target the specified regions and locations. Cross-regional portals address event organisers throughout the German-speaking region. What matters is that your service fits the portal and your actual service area matches the search. The following portal overview uses the currently stored descriptions and regions; new portals are added there automatically.

A published profile receives its own web address and can be found in search engines through its display name, service description, category and location. Relevant category and location pages, internal links and structured data help search engines classify content. Complete, up-to-date and original text, along with meaningful image descriptions, support this discoverability. However, indexing, rankings, visitor numbers and enquiries are not guaranteed; search engines make their own decisions.

A backlink is a link from another website to your website. Its potential SEO effect depends, among other things, on topical relevance, the quality of the linking page, its indexing and how the link is marked. “Link Power” is not a value guaranteed by Google or measured in a standardised way. Different portal domains may have different visibility; without current measurement data, we do not state authority scores or promise ranking improvements. Links can also bring interested visitors directly. Paid advertising links should be marked as “sponsored” or “nofollow” in accordance with search engine guidelines; this does not imply any guaranteed transfer of ranking signals.

Not necessarily. Website links, contact options, galleries and prominent placement depend on the features of the selected package. Compare the current price list for the respective portal. Assess a package not just by a link, but also by relevant visitors, a compelling presentation and the contact options for event organisers.

Register as a provider and add your display name, services, description, address, service area, contact details and images. The profile wizard guides you through the individual details; you can save and skip tasks. Keep information up to date and select only relevant categories. Listings and changes requiring approval are reviewed by the editorial team. A complete profile does not replace approval or any package booking that may be required.

Depending on your package, event organisers can contact you via your profile and save you as a favourite in their planning. In your area, you manage enquiries and replies, send quote files and coordinate appointments. You agree on individual services and prices with the customer. As a service provider, you can also use the currently free event planning tools for your own events.

Yes. Submit a press release via “Publish your own news in the magazine” or the press page, for example about a change of managing director, a new product range, an expansion or an event. A news item requires at least 200 words and the required legal confirmation. The editorial team reviews the content and decides on approval and publication; submission does not guarantee publication. Premium service providers can submit their own news free of charge on an ongoing basis. During the introductory period, submission is also free for other listings; the planned standard prices per news item are 49 € for mid-tier listings and 150 € for free listings. The offer shown on the pricing page at the time applies. The general contact form remains freely accessible and free of charge.

No, subscriptions do not renew automatically. You can see the term and price before booking and in your area. A free trial promotion does not trigger an automatic payment; without a subsequent plan, the profile is unpublished when the free period ends. A plan booked during the free period starts immediately afterwards, so no free days are lost.
